Terms and Conditions
All work undertaken by Avonlea Services is subject to the following Terms and Conditions:
- All work is charged in accordance with the pricing in force at the time the work is commenced
- Avonlea Services reserve the right to administer an additional fee for unclear dictation or extremely complex work. The client will be notified before commencement of
work.
- All consumables and materials i.e. postage, disks, paper etc, will be charged as per Avonlea Services' current price list.
- Avonlea Services acknowledges the highly confidential nature of this type of work and will take all steps to keep confidentiality. Avonlea Services are happy to consider
signing the client's confidentiality agreement if this is required. All Avonlea Services' transcriptionists are required to sign a confidentiality agreement.
- Invoices are sent when the project has been completed and are payable within 7 days of completion unless an agreed trading account is in force. For private individuals, a 25%
deposit is required and the balance due on completion. Payment can be made by cheque made payable to 'Avonlea Services' or most credit cards or debit cards.
- Monthly accounts are available. Avonlea Services require one business reference and one bank reference to open monthly trading accounts .
- The client is responsible for any costs incurred if cheques are returned by the client's bank. Any invoice outstanding after 30 days could incur an interest charge of 8% over
the Bank of England base rate of the balance owing until the date your payment reaches Avonlea Services' account.
- Projects over one audio hour in length need to be agreed for transcription by Avonlea Services prior to the project being uploaded for transcription. This is to ensure that
Avonlea Services have the staff available and can give an estimated deadline for the return of this project. Sixty minutes dictation can take between four and six hours to
transcribe.
- Urgent projects will be dealt with immediately they are received by Avonlea Services and returned to the client as soon as possible thereafter. Please see price list for
details
- The client is advised to use a traceable courier or registered delivery post for tapes and documents. Avonlea Services upload system for digital files is 128-bit SSL encryption. Avonlea Services advises clients to back up their
digital files and audio tapes before sending.
- Avonlea Services have the right to reject work that is felt may be illegal, immoral or offensive in content
- It is the client's responsibility to check that work does not breach any copyright laws and Avonlea Services will not be held responsible should any such breaches arise.
- Although Avonlea Services makes every effort to proof read and eliminate errors, Avonlea Services cannot be held responsible for any damage or loss caused by errors or omissions in
the transcribed work. The client is responsible for final proof reading of the documents. Any errors must be reported to Avonlea Services within 24 hours of the document
being received. Any such errors will be undertaken free of charge and the document returned to the client immediately.
- Changes to a document content by the client will be charged at an agreed rate between Avonlea Services and the client.
- All incoming files will be checked for viruses and Avonlea Services reserve the right to return any files that Avonlea Services believe to be corrupt in any way.
- If the client wishes to cancel a project the client must email Avonlea Services prior to work commencing. If work has commenced then the client will be responsible for all
costs in respect of the work carried out prior to cancellation.
- Avonlea Services reserves the right to sub contract work to approved transcriptionists who have signed our confidentiality agreement.
